Adaface x Hubspot integration

Integrating with Hubspot

Integrating Adaface with Hubspot will allow you to invite candidates to tests, track their status and review their scorecards- all from within your Hubspot CRM.

Once the integration is set up, you can:

  1. Add Adaface Assessment as a deal stage in your Hubspot CRM.

  2. Invite candidates to take a test with just one click by moving them to Adaface Assessment deal stage.

  3. Review scorecards from within the Hubspot dashboard when candidates complete a test.

Configuring Hubspot

1. Add new "Deal Stage" properties. (Settings > Data Management > Properties > Deal Properties > Create property). Create the following properties using the form.

Adaface Status (Recommended)

- Object type: Deal

- Group: Deal Stage Properties

- Label: Adaface Status

- Type: Single Line Text

Adaface TestID (Optional)

- Object type: Deal

- Group: Deal Stage Properties

- Label: Adaface TestID

- Type: Single Line Text

Adaface Scorecard (Optional)

- Object type: Deal

- Group: Deal Stage Properties

- Label: Adaface Scorecard

- Type: Single Line Text

Adaface Scorecard (Optional)

- Object type: Deal

- Group: Deal Stage Properties

- Label: Adaface Scorecard

- Type: Single Line Text

Adaface Start Link (Optional)

- Object type: Deal

- Group: Deal Stage Properties

- Label: Adaface Start Link

- Type: Single Line Text

Adaface Score (Optional)

- Object type: Deal

- Group: Deal Stage Properties

- Label: Adaface Score

- Type: Number

2. Create a new pipeline in your Hubspot account (Settings > Data Management > Objects > Deals > Pipeline > Select a pipeline > Create pipeline).

The name of the new pipeline must be "Adaface Assessment"

3. Add the Adaface properties to the first stage of the pipeline. (Settings > Data Management > Objects > Deals > Pipeline > Select "Adaface Assessment" pipeline)

Click on "Configure" > First row > "Edit properties". In the popup that appears, select all the Adaface deal stage properties and save.

Setting up the integration

  1. You need to be on a paid plan of Adaface to set up this integration.

  2. In your Adaface dashboard, go to Settings > Integrations > Hubspot.

  3. Click on "Integrate Hubspot".

  1. You will be redirected to the Hubspot log-in page.

  2. After logging in to your Hubspot account, a pop-up of permissions will be requested from you. Here are the permissions requested and why:

    1. View properties and details about deals: We use this permission to get notified when you create a new deal and to confirm that you have requested an Adaface assessment to be sent to the candidate

    2. View properties and other details about contacts: We use this permission to get candidate's first name, last name and email id. We use this information to create a test invite and send an email.

    3. Create, delete or make changes to deals: We use this permission to update the deal with the properties (we do not create or delete any deals on Hubspot from our end).

  1. Click on "Connect app"

  2. If the integration is successful, you will see "Integration Status: Authorized" in your Adaface dashboard (Settings > Integrations > Hubspot).

Setting up an Adaface test for a job (optional)

  1. By default, Adaface uses the first test in your dashboard to send invites to. If you want to select a particular test to use. You have to rename your pipeline name "Adaface Assessment: <name of the test in Adaface dashboard>.

  2. You can ignore this step, if you plan to use only one test in Adaface

  3. You can also get the pipeline name by visiting Adaface dashboard > My Tests > Test Settings

Inviting a candidate to a test

1. Here's one sample of how to use the integration. Let's say you have a contact in your Hubspot application.

2. Create a new deal for the contact using the "Adaface Assessment" pipeline

3. Adaface Status property changes to "Invited" once an email invite is sent from our end. Adaface Start Link and Adaface TestID properties (if present) are updated as well.

Viewing scorecards

Once the candidate completes the test, the Hubspot deal is updated with results and scorecard link.

  • Adaface Status = Invited (when invite is sent), Completed (when the candidate finishes the test), Expired (if the link expires)

  • Adaface Score = Percentage score of the candidate (Ex: 55)

  • Adaface Result = Passed, Failed or Borderline passed

  • Adaface Scorecard = Link to scorecard (This link is publicly accessible and doesn't require login)

  • Adaface TestID = Test ID used (This is for Adaface internal id. Use this to communicate with Adaface support in case of any troubleshooting.)
